DSpace Leadership Election Process


(Drafted Spring 2023)

Mid-June 

  • The yearly Leadership Group elections process begins each year in mid-June so that elections are finalized by September. Representation on Leadership Group by a vote put to the Members is as follows: 
  • Platinum - 1 seat per member 
  • Gold - 1 seat per every 2 members 
  • Silver - 1 seats for every 4 members 
  • Bronze - 1 seat for every 8 members 
  • 2 Members nominated by the community at large and voted by the Members 

July 

  • For Community Member At Large Seats, current Leadership/Steering group nominates and votes for those positions. 

August 

  • Tally election results (if election was run) and report results to Members 

September 

  • Onboard new Leadership Group representatives: 
  • Send welcome email, with details on how to join the Wiki space 
  • Add to Google Group: https://groups.google.com/g/dspace-leadership/members  
  • Schedule orientation meeting via Zoom to outline Leadership Group roles and responsibilities, with current Leadership Group Chair and/or Co-Chair also invited 
  • Send new Leadership Group Conflict of Interest forms to be signed by December 1 
  • Delete members rotating off from Wiki and Google Group 
  • After elections and welcoming new leadership group members, send Doodle poll via Google Group to schedule Quarterly Meeting for late November 

 

November 

  • Hold first Quarterly Leadership Group meeting.  Discuss nominations for new steering group leadership at this meeting and hold elections offline immediately and finish by November 30 
  • Send Doodle Poll to schedule next year's Quarterly Meetings 

 

December 

  • After nominations and elections for Steering, send Doodle Poll to schedule monthly meetings. Include the Vice Chair on Steering Meetings, which is optional and at discretion of the Vice Chair. Vice Chair participation in Steering is non-voting. 
  • Hold first Steering Meeting
