Strategic Vision and Community Updates

  • Strategic Vision Document has been signed off by Steering and is now with Leadership for review
  • Update to the community has been sent; we have received one additional form submission since (total of 6 submissions)
  • Maureen will send out a message to DCAT, the tech list with a link to the feedback form 
  • Maureen will send a reminder to the community as part of the Strategic Vision Document communication
  • Important to get more feedback from the community in view of the planned webinar Q&A


Technology Group Update

  • There is a rough plan that has general approval from the group
  • This plan is a two stage merger, over two major releases; no decision yet if first release is 10.0 or 11.0
    • First release: side by side approach, where both CRIS and DSpace are in one system, users can choose which one they will turn on 
    • Second release: everything cleaned up and combined in one platform called DSpace
  • How we go about doing this is still not outlined in detailed, more updates will come 
  • Question: What are the main benefits of the proposed approach? Several benefits:
    • More beneficial to users, an easier upgrade to first stage; will be more seamless upgrade
    • Gives committers more time to understand the difference how DSpace and CRIS handle entity relationships and come up with a combined, improved relationship model that addresses flaws currently present in both systems
    • Also alleviates the resource strain a single combined release would put on the community
  • Comment: this is a good path, as it allows more time to work out the intricacies of the merger
  • Question: what will happen with DSpace 10.0? If the first stage of the merger doesn't happen in DSpace 10, we could still try to port some CRIS features into 10. But, if that occurs, we would need to finalize a plan for what is in 10.0


Group's Charge and Deliverables

  • Reviewed the group's charge
  • Provide update to Steering delineating responsibilities and check off the ones we have taken care of, comment on those that we feel need to be adjusted, aren't feasible
  • What's the ongoing plan to keep everyone up to date? New Leadership / Steering members? (Like an orientation package)
  • Include information on moving CRIS documentation to Lyrasis wiki
  • Some of the responsibilities mentioned in the charge will become more pronounced as time goes on 
  • The question was raised when and how we approach Steering with an extension of the work of both planning groups
  • Deliverables:
    • Strategic Vision Document: Accomplished
    • Governance Transition Plan: Not needed
    • Communication Plan: Work in progress
  • Idea of creating a document that lists the pros and cons of the proposed merger idea to document our thinking and discussion process; Agustina, Tim, and Holger will lead the drafting of this document


Communication Plan

  • So far, we have discussed the idea of holding a Q+A Webinar in late September
  • An important part of this group's work is to gather community feedback; how often do we want to communicate with the community 
  • Another channel we could use is the National User Group coordinators
