Overview

Content contributors can restrict access to attachments/bitstreams uploaded with an item. When this occurs, users can still access the attachments by utilizing the request-a-copy option as outlined below.

Request creation process

Step 1: Users should locate the desired item and navigate to its detail page. This can be done through various methods such as browsing, searching, or using taxonomy navigation. If the bitstream is restricted, a lock icon will appear next to the bitstream link, as highlighted in the screen below.

Step 2: Click the link to go to the Request-a-copy page and enter the required details. Inserting adequate details will help content contributors to understand the need and make an informed decision. Each element on the page is explained below

  1. Name: Enter file the requester's name
  2. E-Mail Address: Enter the correct e-mail ID here. A response to the request will be sent on the e-mail ID entered.
  3. Files needing access: The requester can select "Only the requested file" for accessing a target bitstream, or select, "All files (of this item) in restricted access" to access all attachments.
  4. Message: Enter the reason for accessing the file(s). A well-explained reason is recommended.
  5. Action buttons: Action buttons help users to complete the action.

Step 3: After completing the request-a-copy form, click the "Request copy" button to complete the action. A success prompt should appear upon successful completion of the request.

Step 4: Users will receive an e-mail confirming a response to the access request made. Users can click the link to access the attachment from the mail.
